Before you start

Steps

  1. Make three private folders

    Create Household, Health, and Money. Leave the link set so only you can open it until you share it with one person. Folders: https://support.google.com/drive/answer/2375091

  2. Scan the paper into the folder

    Use the phone scan into that folder. Name the file with the year and month, the type, and the item, such as 2026-04_warranty_kettle. Scan: https://support.google.com/drive/answer/3145835

  3. Start the index

    One row per document. Column A is the document name. Column B is the type. Column C is where the file lives. Column D is the expiry date. Column E is the days of warning, such as 30 or 7. Sheets: https://support.google.com/docs/answer/6000292

  4. Add the reminder date

    Column A is the document name. Column B is the type. Column C is where the file lives. Column D is the expiry date. Column E is the days of warning. Column F is the reminder date. In F2 paste the formula. An empty expiry stays blank. Fill down.

    =IF(D2="","",D2-E2)

  5. Create the reminder from column F

    For each date in column F, add a calendar event on that day. Skip a blank cell. Do not type an account number into the event. Create an event: https://support.google.com/calendar/answer/72143

  6. Share with one person

    Share the folder with the one person who should open it if you cannot. Choose that person, not anyone with the link. Share: https://support.google.com/drive/answer/2494822

Power move

Name each file with the year and month, the type, and the item, so search finds it later. The reminder date is the expiry minus the number of warning days you typed, and an empty expiry stays blank.

What to check

  • The folder is private, and the share names a person.
  • The sheet has no identity number and no account number.
  • A blank expiry did not create a reminder.

What it can't do

It does not store the papers for you. Keep scans in a private folder you control, shared with a named person, not with anyone who has the link. Do not put identity numbers or account numbers in the sheet, in a chat, or in a photo library that other people can see.

Privacy

Paste only the text a chat tool needs. Leave out passwords, account numbers, and identity numbers. The steps link to each tool's own help page when a setting matters.
