Steps
Write your fit profile once
Save it as a note or a custom instruction. Use real experience only. Custom instructions: https://help.openai.com/en/articles/6825453-chatgpt-custom-instructions
Profile. Looking for: [type of opening]. Must have: [three items]. Nice to have: [three items]. Deal-breakers: [three items]. What I bring: [three short lines of real experience]. Hours and place: [remote, hybrid, or where I can travel].
Turn on the sources
Save searches with email alerts on the sites you already use. Add Google Alerts for phrases, set to "at most once a week". Alerts: https://support.google.com/websearch/answer/4815696
"call for speakers" OR "call for proposals" [your topic] "open call" [your field] grant [your field] deadline
Route every alert to one label
Create a filter that skips the inbox and applies the label Openings. Filters: https://support.google.com/mail/answer/6579 Labels: https://support.google.com/mail/answer/118708
from:(googlealerts-noreply@google.com OR alerts@jobsite.example)
Score the week in one pass
Search label:openings newer_than:7d, and copy the titles, links and snippets.
Score each opening against my profile. Use only the listing text and the profile I paste. For each opening give: title, organisation, link, deadline (or not stated), fit as high, medium or low, two reasons it fits, each with a quote from the listing, and the one most likely reason I would be turned down. Drop anything that hits a deal-breaker and list it at the end with the reason. Sort by deadline, soonest first. Do not invent a deadline, pay or requirement. Do not apply or contact anyone. Profile: [paste] Openings: [paste]
Keep a shortlist sheet
Row 1 is the header. A = opening, B = link, C = deadline, D = fit, E = days left, F = status. Put this in E2, fill down, set column E to Format > Number > Number, and sort by E. A past deadline is a negative number. Sheets: https://support.google.com/docs/answer/6000292 TODAY: https://support.google.com/docs/answer/3092984
=IF(C2="","",C2-TODAY())
Block time, then apply yourself
For each high-fit opening, add a calendar event three days before the deadline. Open the original listing on the organisation's own site to confirm it is still open. Never pay a fee to apply, and never share an identity document or bank details before a verified offer. Calendar: https://support.google.com/calendar/answer/72143
Example output
This week: 9 openings, 3 kept 1. Speaker, operations meetup. Deadline in 3 days. Fit: high. Why: "talks on practical automation"; "first-time speakers welcome". Likely no: they want a talk outline with the form. 2. Part-time analyst, remote. Deadline not stated. Fit: medium. Why: "spreadsheet modelling". Likely no: "five years in finance". 3. Community arts grant. Deadline in 20 days. Fit: medium. Why: "local volunteer-led groups". Likely no: needs a written budget. Dropped: 6. Two need relocation (deal-breaker), four are repeats.
Power move
Next to the fit reasons, ask for the one most likely reason you would be turned down, quoted from the listing. You either fix that gap in your application or skip early. Listing dropped items with their reason shows you whether the filter is cutting too much.
What to check
- Every fit reason quotes the listing.
- Each deadline matches the original listing.
- The opening is still open on the organisation's own site.
- Nobody asked for a fee, an identity document or bank details.
What it can't do
It does not apply, write to anyone, or find openings that never reached your alerts. Alerts lag and listings close. The score is a sort order, not a verdict on your chances. Never pay to apply. Paste listing text, not a CV with contact details.
Privacy
Paste only the text a chat tool needs. Leave out passwords, account numbers, and identity numbers. The steps link to each tool's own help page when a setting matters.
