Calendar
AI automation for a weekly calendar plan
Turns the coming week into three priorities, focus blocks, and buffers, and marks the days that are already too full.
Level: Augment.
Trigger
Before the next week starts
Setup
about 25 min (estimate)
Before you start
- Google Calendar export — https://support.google.com/calendar/answer/37111
- Create an event — https://support.google.com/calendar/answer/72143
- Google Tasks — https://support.google.com/tasks/answer/7675838
- An AI chat — https://help.openai.com/en/articles/6825453-chatgpt-custom-instructions
Steps
Export the coming week
In Google Calendar, open Settings, then Import & export, then Export. Copy the event titles and times for the next seven days into a note. Export: https://support.google.com/calendar/answer/37111
Write the task list yourself
Put real tasks in Google Tasks, with a date only where you already know one. Tasks: https://support.google.com/tasks/answer/7675838
Finish the proposal section Two school forms Grocery run
Ask for three priorities and the blocks
Paste the event list and the task list. Delete other people's private details first. Custom instructions: https://help.openai.com/en/articles/6825453-chatgpt-custom-instructions
Plan my next seven days from the events and tasks I paste. Choose only three priorities. Put focus blocks only on empty time. After each block, add a quarter more time as a buffer. If a day is already full, say so and do not add work there. Do not decline or move a meeting. Do not invent a task.
Reject anything that collides
Compare the suggested blocks with the calendar. Delete a block that overlaps a meeting or a full day.
Create the blocks you kept
Add each remaining block as an event you own. Name it Focus, and mark it busy. Create an event: https://support.google.com/calendar/answer/72143
Review for twenty minutes
At the end of the week, mark which of the three priorities happened. Carry one unfinished priority forward. Do not add a fourth.
Example output
Top three - Finish the proposal section. - Two school forms. - Grocery run. Tuesday is already full. No new focus block there. Wednesday 09:00–11:00 focus, then a 15-minute buffer. Thursday 14:00–15:30 focus. A 20-minute review at the end of the week.
Power move
Paste the week's events as text and your task list. The chat sizes each block from an honest guess, then adds a quarter more time as a buffer, and names the day that is already too full before you add anything.
What to check
- The three priorities are tasks you wrote, not tasks the chat invented.
- Each focus block sits on empty time, not on top of a meeting.
- The day it called full did not receive new work.
What it can't do
It does not decline a meeting, move someone else's event, or know which meeting you can skip. You create the blocks yourself. An export can miss a calendar you did not include.
Privacy
Paste only the text a chat tool needs. Leave out passwords, account numbers, and identity numbers. The steps link to each tool's own help page when a setting matters.
