AI automation to build a trip itinerary

Groups each day by area, with travel time, opening hours you still verify, and a rain backup.

Level: Augment.

Trigger

When you start planning a trip

Setup

about 30 min (estimate)

Before you start

Steps

  1. Write the constraints

One note: dates, who is travelling, how you will move around, and what you refuse to rush. No need for a city essay. Name the bookings you already have.

  2. Build the day-by-day plan

Paste the note into a new chat. Ask it to keep each day in one area.

Build a day-by-day itinerary from my notes only. Group each day by area so travel stays short. For each stop give a rough travel time from the previous stop and say that I must verify opening hours. Add one rain backup that is indoors and nearby. End with a pre-trip checklist: documents, plugs, offline map, and a line that says look up the local emergency number yourself. Do not invent that number. Do not add a stop I did not mention unless you mark it as a suggestion.

  3. Check hours and travel time

Open each stop on the map. Fix any hour or travel time that does not match. Save the real places to a list. Maps lists: https://support.google.com/maps/answer/7280933

  4. File the booking emails

Label flight, stay, and ticket mail with one Gmail label such as Trip. You will paste from that label, not from memory. Filter help: https://support.google.com/mail/answer/6579

  5. Put the plan and the bookings in one doc

One doc: the edited plan, then the confirmation numbers copied from the emails. How to use Docs: https://support.google.com/docs/answer/7068618

  6. Download the offline map

Download the area in Maps before you leave, and read the pre-trip checklist once, including the emergency number you looked up yourself.

  7. Send a simple version to family

Make one short page for the people at home. Copy flight or train numbers and times from the booking emails, not from the plan. Leave out booking references, passport numbers and payment details. Leave the phone numbers in square brackets and type them in yourself. You send it by message or email.

Write a simple trip schedule for family at home. Use only the bookings and plan I paste. Plain words, short lines, no travel jargon. For each travel day: the date, the flight or train number, and the departure and arrival times in the local time where each happens, with the same times in [family's time zone] in brackets. Where we sleep each night: the place's name. Who to call: [traveller name] on [traveller phone], and [backup contact] on [backup phone]. If a time zone or number is missing, write check this. No booking references, passport numbers or payment details. Under 200 words.
    Bookings and plan: [paste]

Example output

Day 1
- Morning: the museum you already booked. Same area: a cafe on that street.
- Afternoon: the market, two stops away. Walk if the weather holds.
- Rain backup: the indoor gallery next to the museum.
Check yourself: museum hours, and the last entry time.
Pre-trip: passport, plug adapter, offline map, and the emergency number for where you are staying. Look that number up. Do not guess it.

Power move

Cluster each day by area so you are not crossing town twice. Then ask for a pre-trip checklist: documents, plugs, an offline map, and the emergency number, which you look up rather than trust from the chat.

What to check

  • Each stop is something you chose or already booked.
  • Hours on the plan match the map, including last entry.
  • The emergency number was copied from an official source, not from the chat.
  • Every flight or train number and time on the family version matches the booking email.

What it can't do

It does not book travel, pay for a ticket, or know today's opening hours. Hours, closures, and transit times have to be checked on the map. It must not invent an emergency number. You confirm every booking in the original email.

Privacy

Paste only the text a chat tool needs. Leave out passwords, account numbers, and identity numbers. The steps link to each tool's own help page when a setting matters.
